The Mechanics’ Institute is a 4,500 member, non-profit organization with a 160,000 volume general-interest Library, the oldest Chess Room in the US, and an active Events program. We are located above the Montgomery Street BART/MUNI station in downtown San Francisco in our historic landmark building. Please see our website: http://www.milibrary.org/

We are looking for a full-time individual to be the Membership coordinator. The Membership Secretary is responsible for the daily operations of the Membership Office and works under the general supervision of the Executive Director.

Full-Time 37.5 hours/week, Monday-Friday 9-5

Responsibilities include, but are not limited to:

  1. Maintenance of the Membership Office:
    • Processing new and renewed membership payments and resolving membership issues as they arise;
    • Generating and mailing membership renewal billings;
    • Producing General Ledger statements to the accountant;
    • Promoting membership to prospective members;
    • Coordinating office supply orders with Acquisitions Librarian
  2. Maintenance and interface of four membership databases:
    • Membership portion of the Library database - Innopac / Millenium
    • Membership / Donations database - MMS
    • Door security system - Access
    • Login security system - Penumbra (web-based)
  3. Coordinating with the Circulation staff of the Library:
    • Daily retrieval of membership transactions from the Library;
    • Entering Library-generated membership transactions into databases;
    • Providing coverage for circulation services on an as-needed basis
  4. Processing Member donations:
    • Creating donor mailing lists and solicitation cards;
    • Generating General Ledger statements to Accounting Department;
    • Generating thank-you letters to donors;
    • Tracking campaign progress

Qualifications:

The successful candidate will have: knowledge of and experience in working with a variety of software and databases, the ability to work cooperatively with Institute staff, and demonstrated skill working with the public.

Salary: $15.38 per hour, benefits for full-time position
