Saint Mary's College invites applications for a full-time (12 months) Acquisitions Assistant in the Library. Qualifications:

  • Two (2) years of College level coursework required. BA preferred.
  • Minimum of one (1) year related library experience;
  • Prior acquisitions and Innovative Interfaces with integrated library systems experience highly desirable.
  • Demonstrated successful accounting and bookkeeping experience;
  • Significant experience in database and word processing software systems required;
  • Familiarity with bibliographic and publishing information sources;
  • Ability to use spreadsheets;
  • Excellent organization and communication skills, including attention to detail and accuracy;
  • Prior supervisory skills highly desirable.
  • Ability to carry/lift boxes up to thirty (30) lbs.; push book carts of approximately fifty (50) lbs. And reach shelves from floor level to a height of six (6) feet.

Responsibilities:

  • Manages the ordering, receipt and pre-processing of all of the print and media materials (except periodicals) selected for inclusion in the Library’s collection;
  • Uses the automated acquisitions system supplied by Innovative Interfaces, Incorporated and other associated files and spreadsheets;
  • Maintains over 100 fund accounts, 400 standing order agreements and the documentation to support financial transactions;
  • Develops brief bibliographical records for materials on order;
  • Extracts financial and statistical reports to support budget and collection development planning;
  • Verifies and approves invoices for payment;
  • Serves as a resource to faculty and staff for information on publishing practices, sources of materials and methods of procurement, etc.;
  • Spends a significant amount of using multiple computer systems and applications;
  • Works closely with librarian subject specialists, business office staff, purchasing and external vendors to develop accounting procedures and mechanisms and implement them into the automated system;
  • Provides administrative supervision and training of one (1) – two (2) student assistants;
  • May be asked to provide functional supervision of other staff;
  • Works under the general supervision of the Head of Cataloging & Acquisitions.
  • The successful candidate will be expected to respect and support the Catholic, Lasallian and Liberal Arts traditions of the College.
