Saint Mary’s College invites applications for a full-time; Collection Development Assistant and Periodicals Manage r position to be responsible for the management of the periodicals collection in both print (800 titles) and on line (15,000 titles) formats. /p>

Responsibilities:

Reporting to the Head of Collection Development the Collection Development Assistant and Periodicals Manager is responsible for ordering, maintaining records in an online serials management system (e.g. order, payment, check-in), creating and maintaining holdings information and links, and managing the print periodical collection stacks; ensures materials are processed for all library formats, including binding and preservation activities; supervises one library assistant (.50 FTE) and 3-5 student assistants (1-2 FTE).

Periodicals Acquisition / Collection Management

Establishes and maintains periodical subscriptions and their associated fiscal, bibliographic, and receipt/holdings records; initiates new orders and renewals of subscriptions for print, online, and microform periodical subscriptions; maintains ongoing records for each title in Innovative’s Millennium Serials Subsystems, including order, receipt, check-in, payment, binding, claim, cessation or cancellation records, in a manner that permits all staff and patrons to consult these records with ease; maintains periodical holdings records in the Library’s public catalog, Serials Solutions A-Z title list, and OCLC’s online union catalog.

Initiates contact with vendors for information and resolution of problems (e.g., price / availability information, billing errors, missing / defective / duplicate receipts, title discrepancies, issn discrepancies, etc.); submits requisitions, check requests, invoices and other accounting transactions, and works with the Business Office to ensure timely payment and receipt of materials; verifies transactions against monthly budget printout and resolves discrepancies; manages fund hierarchies and vendor records in Innovative’s Millennium Acquisitions Subsystem; produces reports that detail expenditures for periodicals by subject area fund and library account; extracts information from accounting records / databases for periodic expenditures reporting and budget request preparation.

Maintains the organization, accessibility and integrity of the collection in all physical formats.

Ensures effective physical access to the collection through accurate title order corresponding to bibliographic tools, regular shelving routines, inventory, shifting and shelf-reading programs, signage and labeling; manages the space needs of the collection by monitoring collection growth. Identifies potential low-use titles through periodic use studies, analyzes electronic publisher packages for overlap with the print collection; proposes withdrawal or storage of low-use or duplicate titles; monitors the integrity of the collection through inventory, search requests, collaboration with the Interlibrary Borrowing / Document Delivery unit, etc.; provides for replacement of lost or vandalized issues / volumes; reviews gift materials for completion of title runs and / or replacement of missing items.

Working with the Head of Collection Development & Periodicals, develops policies and assessment efforts to guide the development of the periodicals collection.

Assists in the revision of Periodicals Collection Development guidelines; designs and manages periodical collection use assessment projects by carrying out occasional use studies; helps design and carry out periodical collection quality assessment projects by comparing holdings to standard lists, comparing holdings to Librarian-developed “Core Titles” lists; assists in the reevaluation of work processes, procedures, and guidelines; experience with serials professional development organizations; develops best practices for serials management.

Materials Processing, Binding & Preservation.

Supervises the processing of periodicals, books, non-print media, microforms, and maps; designs and documents procedures; provides quality control review; ensures delivery to appropriate stack, storage and display areas; supervises the binding of volumes through a combination of in-house operations and commercial services; maintains records for each title in process to permit public access when possible; recommends changes in methods, equipment and supplies; maintains a current working knowledge of vendors’ materials and services available; maintains in-house repair/preservation program.

Supervisory, Department, and Team Responsibilities.

Hires, trains, evaluates, and encourages the professional development of the Periodicals and Processing Assistant; hires, trains, supervises, and evaluates a sufficient number of student assistants to carry out the work of the Periodicals and Processing operation; participates in the Development of the annual Service Plan for the Collection Development & Periodicals Department. Develops Performance Objectives for the Periodicals and Materials Processing staff; documents and maintains up-to-date procedure manual for all Periodicals and Processing activities; orders and maintains departmental supplies; supervises the pick-up and delivery of Library mail; assists with duties of other staff, particularly those in the cross-departmental Collection Services Team, in their absence; participates on appropriate cross-departmental and library-wide teams. Other special projects as assigned.

Works in a highly collaborative and culturally diverse environment and develops effective relationships within the Departments, School and with other areas of the College. The successful candidate will be expected to contribute to the mission of the College, which is informed, animated and expressed through its Catholic, Lasallian and Liberal Arts traditions.

Qualifications:

Bachelor’s degree required; completion of Library Certificate program highly desirable; one (1) year of directly related library experience in a similar setting; ability to learn and use serials control system of major library automation vendor, computer word processing, database and spreadsheet software; demonstrated successful supervisory experience; budgeting and bookkeeping experience; attention to detail; excellent organization and communication skills; ability to plan and complete assignments independently.

Excellent public-service outlook; ability to view periodicals management as a part of the College’s educational mission; ability to establish and maintain effective working relationships with both internal and external colleagues, through collaboration, cooperation, teamwork and communication; talent for motivating and training staff, including student assistants; ability to provide clear and effective instructions and procedures, both oral and written; ability to listen to questions, and to determine the appropriate resources needed by staff; familiarity with Library serials control systems, online catalog systems, and shared bibliographic utilities; experience managing budgets totaling more than $200,000; work in an organized manner; ability to work cooperatively and effectively with all members of a culturally diverse campus community; ability to work independently and as a team; understanding of and commitment to further the mission of the College.
