Stanford University seeks flexible, customer-service-oriented
Operations Manager to maintain day-to-day operations of its Physics

Responsibilities:
60% Administrative and Managerial:
Reporting directly to the Head Librarian, independently manages the
day-to-day operations of the Library, including circulation, serials,
acquisitions, course reserves, interlibrary services, catalog maintenance
and public services. Responsible for the library in the absence of the
librarian.
- Supervises and evaluates the performance of all non-exempt staff (1.5
FTE) and makes recommendations for hiring and other personnel actions.
Hires, trains, supervises, and schedules approximately 0.5 FTE student
assistants, sets student pay rates. Manages leave records.
- Monitors the following budgets: student salary requisition, supplies,
and communications. Orders supplies.
- Responsible for maintenance of library's physical plant, stacks and
equipment. Analyzes and monitors space utilization of the library.
- Coordinates, compiles, analyzes, and reports unit statistics.
- Consults with staff in Green Library, technical services and other
branches to solve problems as they arise. Handles inquiries and
communications with other SUL units as they pertain to the Physics Library.
20% Collection Development:
- Oversees maintenance and preservation of the Physics Library collection.
- Supervises ordering of materials needed for reserve, provided materials
are within the scope of Physics Library's collection policies; refers
questions to the librarian.
- Supervises work associated with use studies, inventories, and transfers
of materials to storage facilities.
- Provides information to the librarian to facilitate
replacement/cancellation decisions.
- Supervises 1.5 FTE 1A2 in maintaining local serials operations,
permanent and course reserves, monographic purchases and processing, and
web presence.
- Coordinates receipt of gifts and expedites processing or discard of
gift items.
- Oversees maintenance of in-house database for monitoring serials.
15% Reference Service:
- Interacts with faculty, graduate students and other users to assist in
their research needs and to obtain necessary research materials for them.
- Solves informational and ready reference queries in physics, applied
physics, and astronomy using online and printed reference tools.
- Instructs users in the use of the library catalog and other information
resources.
- Handles in-depth reference questions to her/his level of knowledge,
referring others to the librarian.
5% Other:
- Plans and supervises special projects as required.
- Works in other branches as required.
- Serves as Expert Partner.
- Serves on SUL/AIR committees as required.
- Other duties as assigned.
Qualifications:
REQUIRED:
DEMONSTRATED ABILITY AND EXPERIENCE TO:
- apply effective supervisory, management, organizational and customer
service skills;
- interact effectively in a small group environment and with a diverse
group of people;
- apply previous library experience in positions of increased
responsibility in circulation, technical processing, public service,
including reference;
- adapt to change, concentrate despite frequent interruptions, and move
flexibly between tasks on short notice;
- be flexible and work under pressure;
- learn and synthesize new information quickly;
- perform detail-oriented tasks accurately and efficiently;
- communicate effectively in written and oral English;
- apply knowledge of automated library systems and databases;
- use office computers for word processing, spreadsheets, database
management and communications;
- take initiative, plan and prioritize work, and meet deadlines;
- handle multiple responsibilities simultaneously;
- seek constructive solutions to problems;
- apply sound judgment;
Good attendance record.
Strong customer service orientation.
HIGHLY DESIRED:
- familiarity with Unicorn, MARC, Kronos, and Oracle Financials;
- troubleshoot hardware and software in a PC-networked environment;
- type a minimum of 45 wpm;
- understand and interpret queries in physics, applied physics, and
astronomy;
- knowledge of the structure and organization of SUL and Stanford University.
